WES procedure for GTU(Gujarat Technological University) - CANADA
WES
WES is one of the important and time-consuming steps for immigration to countries like Canada. It is a required step for students and other visa categories. In this article, I am going to explain about the process to send WES verification parcel through GTU. For the student who can not go to the university, a few additional documents are required in order to complete the process.

The comment section suggests that there could be an option to send electronics documents directly. As I am also a student and wrote this blog so it gets easier for someone who wants to go through this process. Most of the things should be the same except sending the copy to WES.

GTU
Gujarat technological university has few processes set in place to tackle WES. If all the documents are present then the process is relatively seamless. Only catch in the process is the operational hours for the university. The official time for GTU starts at 10:30 AM on weekdays so usually work will start at around 11:45 AM. Student or anyone visiting GTU should reach not earlier than 10:20 AM in order to save time.
Step 1: Getting transcripts
- Navigate to GTU student portal (This works well on the computer. It did not work well on the mobile phone)
- Log in to student portal if you have already registered. If not registered then register. You will receive a password on the provided phone number.
- GTU student portal generates and provides the password to you so make sure save it somewhere. In addition to that multiple accounts can have the same phone number as of August 2019.
- From the portal, select certificate request.
- In the type of certificate dropdown, select transcript and enter No.of Copy.
- Make sure to select other option in radio button in the Certificate Received By if someone is going on your behalf.
- Certification collection date is the date when you are supposed to collect transcripts.
- Click on submit and then proceed for payment and complete payment using either credit card or debit card.
- After completing this step, return back to the certificate request page. In the bottom half of the page, click print under Generate Receipt. Save the file and print that which will be used at the time of transcript collection. The receipt contains the required details as shown below.
- If you are going on someone's behalf then do not forget to take the authorization latter.
- Photo ID of the applicant is must and they did not let you take transcript without a copy of photo ID.
Step 2: Getting a reference number from WES
- Create an account on the WES website.
- Start a new application and complete the application.
- After payment WES reference number will be generated.
- After the completion, complete this form and print it. This form is needed to be sent with WES package.
Step 3: Applying for document verification for WES
- Details about the document verification are provided on this link.
- This process requires all original documents and they must be present at the time of application at GTU.
- Payment can be done based on the number of documents that need to be verified. Price per document is:
- per Mark sheet: 50/- INR
- per Provisional Certificate: 100/- INR
- per degree certificate: 200/- INR
- per transcript: 100/- INR
- Bring additional photocopies in case needed.
- Photocopies and prints can be done from E block near GTU building as well as there are few xerox stores right across GTU main gate. Xerox stores do provide the facility for online payment and other WES related stuff.
- After collecting all the documents, get them verified at the front window and the person sitting in the window will redirect to the next processing room.
- The person in charge in the room will collect your documents and provide you time(the same day after 3:15 PM) to collect those documents and send them to WES

Step 4: Collecting and shipping documents
- The documents can be collected after 3:15 PM and GTU will seal the envelope for you with all the required documents in it.
- After collecting your package, you have to stand in a queue for shipping it to WES.
- I went there 2 times and on both the days there were about 20 students ahead of me in the line.
- A person from DHL will be present in an office room who will provide you the tracking details and receipt for the package.
- The charge you have to pay is 1550 INR as of August 2019.

Conclusion
If you are well prepared with all documents then it should not take more than a day to process and send this package to WES.
what if the student is in Canada and all his original documents are with him in Canada...will Gtu accept the photocopies or should he send the documents from canada to india?
ReplyDeleteHi Sahil, sorry for the late response. I have not been updating my blog lately. You must have your original documents in order to get things done. My friend sent me all the original copies when he was not in India. After completing the formalities I shipped back those documents through DHL.

ReplyDeleteYes, as far as I remember mark sheets are required in order to get your transcripts. So you must have photocopies of all the mark sheets. Process at GTU is still very old school and the overall process has its own pros and cons. But in case if you forget something, there are shops right across GTU which will help you get the things done(print, online payment, photocopy etc.)

ReplyDeleteI had old transcripts as well. I guess if they are sealed then you should be fine. Take them with you at GTU and double check though as they keep changing transcript format/process associated with it.

Yes you need both for WES. It has been some time since I completed this procedure but as far as I can remember, it is required. Hope this helps.

But WES says documents should be posted to them whereas GTU send electronic copy only. So won't it cause an issue.

We have communicated directly at WES for the process; they only required the transcript to be sent electronically from GTU..
You can apply for the transcript through the student portal by post service will be available.

For that there will be option to be available in the student portal process , you can select the option to send the electronic copy of the transcript to WES from GTU. We will send the electronic copy to WES on behalf of the student.
No need to come in person at GTU and the hard copy of the requested documents will be sent through the post process to the address mentioned by the student.

Create an account if you don't have, then you could find request certificate option, fill up the required detail, select certificate- transcript.
There will be option (Directly sent Electronic copy to WES from GTU - Marked ON), then make payment.

DeleteNo we do NOT need to mail any documents to WES (physically). GTU will send it to WES. However, if WES asks to submit documents online, just submit. As far as I remember, I uploaded my degree certificate and ID in my WES account.

If you are asking what if you already have transcript, how to get WES process done, as far as I know WES evaluates transcript only if sent by GTU directly. So I would say start the whole process again right from the requesting transcript through student portal, even if you already have it.

I tried to register myselt with Enrollment number but its not accepting my original Registration number which is there on my certificate and all of my marksheet. Can onyone guide how to register and further process please.
ReplyDeleteI do not recall the exact process honestly. I think you may need phone where you may receive OTP in order to complete registration. But as I completed this process a while ago I do not recall the exact registration process. If it is urgent then I recommend send a family member or friend to GTU in order to get it done. I had the same doubt - and I did the wes process recently - Actually wes now accepts online transcripts from selected universities and GTU is one of them - so basically you only have to pay for transcript and transcripts verification - and then gtu will send the document electronically - Don't worry, I got my wes done in same way - no need to send sealed cover - to clarify you can also call up in GTU - they will give up to date information

ReplyDeleteI believe you can apply for another marksheet. Once you get that marksheet you can send it over to the university. One of my marksheet was also lost but reprinting a new copy took forever (2-3 months) in 2013. I hope the process is a bit better now and you get it earlier but plan accordingly. Thanks.

You have to send someone on your behalf with an authorization letter (More details can be found on step 1). I did the process for my friend in 2019. I am not aware if something has changed after the pandemic. But to answer your question, my friends from USA sent me the original copy of their documents for processing with authorization letter. After the process I send those documents back. Hope this helps. Thanks

In My degree certificate after my name "Kumar" suffix is present where as in my passport "Kumar" suffix is not present. Will this make any issue? Should I need to mention the as it is name in "Education" section in WES account as present in my Degree Certificate? Please help me with correct info.
